Onboarding Follow-Up
No client left stuck halfway through onboarding.
Onboarding stalls when forms aren't filled in, calls aren't booked, or links aren't clicked, and someone has to remember to chase. The workflow watches every client's progress and sends a timely nudge automatically whenever a step is left outstanding.
Hi Mira, just a friendly reminder that the Brixton Logistics intake form is still pending. It takes about five minutes and helps us get your account set up properly.
From stalled to moving, in three steps.
Each client's onboarding progress is checked on schedule. Forms not submitted, calls not booked, and links not clicked are all picked up automatically.
When a step is outstanding, a reminder goes out in your tone with the exact link or action the client needs. Once they complete it, the nudges stop automatically.
Every reminder and response is logged in your tracker so progress stays visible. Your team sees who's done, who needs a nudge, and who needs a human to step in.
What changes after we deploy this.
If any of these describe your business, this workflow earns its keep.
When clients sign up, get the welcome, and then go quiet, manual chasing usually starts a week too late. The workflow nudges at the moment a step starts dragging, so onboarding doesn't quietly run out of momentum.
When onboarding includes a form, a kickoff call, a doc upload, and access setup, every step is a place where a client can get stuck. The workflow tracks each one independently and chases only what's outstanding, so reminders never feel generic.
Manual follow-up is the first thing that drops when the team gets busy. The workflow keeps the chases going whether anyone's available or not, so onboarding velocity doesn't depend on whose calendar is clear.
An audit trail, kept for you.
You won't watch this day to day. We maintain the full record on your behalf, available whenever you need to review, export, or share it.

Can I choose the schedule for reminders?
Yes. You control the timing, spacing, and number of reminders for each step. Daily nudges, weekly check-ins, custom intervals like 3-7-14 days, all supported. We help you tune the cadence during setup, and you can adjust it at any time as your onboarding evolves.
Will clients get too many reminders?
No. Only the reminders you define get sent, and the moment a client completes a step, follow-ups for that step stop automatically. There's no risk of nudging someone who's already done what you asked, so reminders never feel pushy or out of date.
What types of reminders can it send?
Form completion, document uploads, kickoff call booking, link clicks, signature pending, or any custom step you define. Each step type can have its own message, schedule, and escalation path, so the reminder always fits the action the client needs to take.
Can I track who still needs attention?
Yes. Every reminder and response is logged in your tracker, so the live status of every client's onboarding is visible at a glance. You see who's done, who's mid-flow, and who's gone quiet without having to check anywhere else.
Do I need to write the follow-up messages myself?
You don't have to. The workflow drafts each reminder in your tone using the templates we set up together, and you can edit any message at any time. Some teams write everything once and lock it in; others let the AI handle day-to-day with occasional review.
Other automations that complement this one.
Used together with Standard Onboarding and Conditional Onboarding, your client onboarding stays consistent from the welcome email through the final completed step, with every nudge fired only when something is actually outstanding.
Ready for onboarding that doesn't stall?
Send timely nudges automatically, only when a step is outstanding, while your team focuses on real work.
